Someone drops out of the 5:30 at four in the afternoon. Filling that spot means noticing the cancellation and texting the next person within the hour. If nobody is watching, the class runs one short and the waitlist never learns it works.

Class capacity, waitlist position and plan status are read at the moment of the question. A studio schedule changes hourly, and an agent working from a stale copy is how somebody gets told there is room in a class that filled at lunchtime.

Fitness studio questions.
Can it cancel or freeze a membership?
No, and it should not. A freeze or a cancellation is a contract change, so the agent takes the request, logs it with the member’s name, plan, dates and reason, tells them a person is handling it, and puts it in front of you. What it removes is the part where the request sits unread for a week and turns into a chargeback.
Will it answer questions about injuries or whether a class is safe for someone?
No. Anything about an injury, a pregnancy, a condition or what somebody’s body should be doing goes to the instructor or the owner with the question attached, and the member is told a person is coming back to them.
Does it actually work the waitlist?
Yes, and that is where most of its value sits. The moment a spot opens it messages the next person in order, holds the spot for the window you set, and moves down the list if nobody replies. Done by hand it happens when somebody remembers, which is usually after the class has run.
We already use a member management platform. Does this replace it?
No. Your platform stays where it is and stays the record. The agent reads from it and writes bookings back to it, so the schedule, the plans and the payments are still yours. It handles the conversation around the system, not the system.
